Every NEMT trip moves through five stages. Avenex automates each one and locks the billing decision early, so trips never vanish in transit and claims never bounce.

The lifecycle
Five stages, fully automated
1 — Intake
A broker sends a trip by webhook, API, or CSV over SFTP. Avenex stores the raw payload instantly, de-duplicates re-sent rosters, and retries safely if a downstream system blinks.
2 — Schedule
Eligibility, authorization units, and rate estimates are checked live as your coordinator books. The payer, plan, and codes are locked before the vehicle moves.
3 — Dispatch
A real-time map and credential-aware auto-assignment put the right driver on the trip, and the live board tracks En Route, Aboard, and Action Needed on its own.
4 — Deliver
The driver app enforces exactly what the broker requires — odometer, photo, GPS-stamped signature — before a trip can be marked complete.
5 — Bill
The instant the driver taps Complete, Avenex builds a compliant EDI 837P claim from the locked snapshot. No re-keying, no end-of-month guesswork.
The data snapshot
What gets locked at each stage
Avenex makes one guarantee: the information that determines how a trip is billed is committed before the vehicle moves — nothing that happens afterward can change it.
Locked at scheduling
The payer plan, procedure code, electronic payer ID, and provider NPI are snapshotted the moment a coordinator saves the trip. Any edit after this point is logged but cannot alter the billing record.
Captured in the field
The driver app enforces each broker’s required proof — odometer reading, delivery photo, GPS-stamped member signature — before the trip can close. Missing proof holds the trip open.
Generated at delivery
The 837P claim is assembled from the locked scheduling snapshot and the collected field proof the instant the driver taps Complete. No re-entry, no manual assembly.
